Duties & Responsibilities      
 Chairperson
  1. Preside over all Association and Board of Directors meetings.
  2. Enforce all rules made by the Board of Directors and be responsible for all activities of the Association.
  3. Represent the Association Board of Directors, and be responsible for all activities of the Association.
  4. Represent the Association at any area, district or committee functions pending Board approval.
  5. Appoint a replacement in the event of a vacancy of an elected officer pending Board Approval.
  6. Co-sign checks drawn on the bank account of the Association.
  7. May manage/coach a team, but not one in a division under their jurisdiction.
  8. Interpret Roberts Rules of Order, when needed.
  9. Renew lease and reserve playing and practice fields with school district and other needed/utilized fields.
 1st Vice-Chairperson
 
  1. Assume duties of Chairman in their absence.
  2. Supervise all Player Agents, holding meetings as deemed necessary.
  3. Head Protest Committee of T.H.R.A., when needed.
  4. Supervise sign ups, opening day ceremonies and award ceremonies.
  5. May manage/coach a team, but not one in a division under their jurisdiction.
  6. Co-sign checks drawn on the bank account of the Association.
  7. Order trophies for league.
  8. Revise (as needed) and order sign up forms.
  9. Order rulebooks and supplies from PONY Baseball.
 10. Arrange for All Star Tournaments/Special Tournaments (includes coordinating and entering teams into tournaments), subject to Board approval.
 11. Assists in scheduling Association umpires for games.
 2nd Vice-Chairperson

 * Both 1st & 2nd Vice-Chairpersons share the above stated duties & Responsibilities*
 Treasurer
  1. Receive and expend all funds handled by the Association or the Board of Directors.
  2. Keep accurate records and report financial status at all meetings.
  3. Set up/maintain a bank account in the name of T.H.R.A. Said account will require two signatures on each check (treasurer; chairman, vice chairman(s). Said account shall also have accessibility to a debit/charge card, of which expenditures will be reviewed and approved by Board.
  4. Present books to audit committee or auditors at end of term of office.
  5. Head budget committee.
  6. Must obtain and retain signatures of receipts of all moneys received or dispersed.
  7. Coordinate insurance matters. All children must be covered with insurance at tryouts. League shall carry its own insurance policy.
  8. Complete and file with IRS appropriate tax returns.
  9. Pick up mail from Post Office (responsible for key).
10. Obtain/review/create contracts with various vendors used.
 Recording Secretary
 
  1. Attend and keep minutes of all transactions for the regular Board meetings. Distribute minutes to all Board Members.
  2. Keep record of current Board Officers.
  3. Take attendance of Board Members at all meetings.
  4. Forward previous years minutes to incoming Board.
  5. Responsible to keep general playing rules and by-laws and distribute to new Board Members. 6. Notify Board Members of all meetings.
  7. Arrange/reserve meeting places for all T.H.R.A. functions, including meetings, sign ups, etc.
  8. Handle all outgoing correspondence for the Association.
 Ways & Means
 
  1. Responsible for all fundraising activities.
  2. Maintain record of all receipts and disbursements and turn into Treasurer.
  3. Responsible for coordinating annual dinner dance (upon approval of Board).
  4. Works with Team Coordinator in reaching team parents.
 Publicty  
  1. Responsible for publishing of all game news.
  2. Arrange for publicity and pictures in newspaper, if applicable.
  3. Make and display necessary posters/flyers, when necessary.
  4. Arrange picture days.
  5. Advertise league sign ups.
  6. Obtain permission from schools to distribute sign up advertisements.
  7. Prepare opening day booklets.
  8. Monitor/update league voice mail/phone system.
 Sponsor Chairperson
 
  1. Solicit sponsors.
  2. Assign sponsors.
  3. Maintain sponsor records. Invite sponsors to appropriate events/games.
  4. Send sponsors copy of game schedule, if applicable.
  5. Order and deliver appreciation plaques/photos, to all sponsors.
  6. Assists in coordinating team uniforms.
 Umpire In Chief
 
  1. Furnish Association with required number of umpires for each game during the season.
  2. Recommend fees for umpires. Present to Board for approval.
  3. Conduct an umpire clinic, subject to Board approval.
  4. May manage/coach a team, upon approval of Board.
  5. Direct umpires to uphold all conduct codes.
  6. Have umpires report ejected person’s name to them.
  7. Inform appropriate player agents of any game ejections reported by umpires.
 Purchasing Agent

  1. Responsible for all playing equipment and uniforms, including inventories and control of all Association equipment.
  2. Purchase necessary equipment and uniforms as directed by the Board.
  3. Obtain approval for all purchases (except as noted in Article VI) and present receipts to Treasurer.
  4. Supply equipment for all tryouts.
  5. Notify appropriate player agent on all discrepancies regarding condition of equipment.
  6. Responsible for the issue and pick up of all uniforms and equipment to each manager and the keeping of records on said equipment.
  7. Responsible for contents in equipment shed.
  8. Responsible to provide incoming player agent with inventory of all equipment.
  9. Responsible for ordering jerseys and hats for all teams (including tournament teams).
 10. Works with Sponsor Chairperson to coordinate team uniforms.
 (Home) Field Chairperson
 
  1. Maintains game playing fields.
  2. Organizes work parties, as needed.
  3. Present receipts and expenditures to Treasurer.
  4. Updates and improves game playing fields, upon Board approval.
 Practice Field Chairperson

  1. Maintains practice fields.
  2. Organizes work parties, as needed.
  3. Present receipts and expenditures to Treasurer.
  4. Updates and improves practice fields, upon Board approval.
  5. Secures leases for practice fields.
 Shetland Player Agent
 
  1. Coordinate sign ups and try outs with Vice Chairman(s).
  2. Organize proposed managers to handle tryouts.
  3. Submit roster of proposed managers to Board for approval.
  4. Conduct selection of teams as outlined in Article IX of By-Laws.
  5. Prepare schedules and distribute to managers after Board approval.
  6. Supervise division play.
  7. Supervise managers/coaches conduct.
  8. Conduct periodic manager’s meetings, as needed.
  9. Tabulate weekly standings and submit to Publicity Chairperson.
 10. Report activities of managers, coaches, and players, to Board.
 11. Periodically check scorebooks to ensure all players have played at least 3 innings per game.
 12. Advise Treasurer of new sign ups and dropouts.
 13. Review and recommend changes to playing rules (to Board) prior to opening day.
 14. Arrange for and obtain Board approval for all interlock arrangements.
 15. Investigate and verify reasons for chronic player absences. Take needed action.
 16. May manage/coach a team, but not one in a division under their jurisdiction. Pony and Colt Divisions may deviate from this with Board approval.
 17. Nominates/selects/votes on tournament and All Star player selections (within their division).

 Team Coordinator
 
  1. Works with Ways and Means Chairperson(s) in reaching team parents.
  2. Responsible to hold a Team Parents’ meeting prior to season starting.
  3. Instruct and assist team parents to gather and maintain records.
  4. Turns in any money received and receipts to treasurer.
  5. Instructs and assists team parents to hand out flyers and other communications.
  6. Works with team parents and Snack Bar Chairperson(s)/Field Chairperson to coordinate participation by parents/volunteers.
  7. Works with Treasurer to refund parent participation fees (when applicable).
  8. Oversees and coordinates annual Elections of Board of Directors.
 Snackbar @ Tara Hills
 
  1. Responsible to stock and operate league snack bar.
  2. Turn in receipts to Treasurer.
  3. Report profits/losses to Board, monthly.
  4. Works with Team Coordinator for scheduling parent participation.
  5. Record daily reports and report to Treasurer.
  6. Arrange for deposits of snack bar profits.
  7. Supervise proper sanitary food handling techniques within snack bar.
 Snackbar @ Fernendez
  * Same as above, just a different field*
 Webmaster     1. Creates and maintains league website.
